Facility rental / usage

The Schaefer Center for the Performing Arts is available for use by campus and community events that are expected to draw an audience of at least 600. All scheduling requests are submitted to the Director of Technical and Production Services and approved by the Director of Arts and Cultural Programs.

Requests can be made at any time. If received after June 15, requests will be reviewed after August 15. Tickets can go on sale after Labor Day. 

Campus users

After May 1, the Office of Arts and Cultural Programs will open the facility schedule to requests by campus users for space usage during the following year. Campus users will be given booking priority until approximately two weeks after the calendar opens before any bookings by external users. Campus users who requests have been approved are eligible to utilize the facility at no charge.

Steps to book the facility as a campus user:

  1. Contact Scott Haynes, Director of Technical and Production Services to discuss the need, intention and possible date of use. Contact information for Scott Haynes: 828-262-6371 or haynesms@appstate.edu.
  2. Fill out the University User Request Form (PDF 173K) and the policies and procedures form here and return it via email to haynesms@appstate.edu.
  3. For public events, send a 200-word event description, a high-resolution image, videos (if applicable) and event information to Anna Gaugert (gaugertah@appstate.edu) to be published on the Schaefer Center website.

Note: All university-approved student groups require the signatures of both the group’s faculty advisor and an appropriate representative of the event.

External users

After August 15, external and campus user requests will be given equal priority and will be responded to on a first come, first served basis. During the period from August 15-June 1, the Schaefer Center will consider all usage requests for the following season.

Steps to book the facility as an external user:

  1. Contact Scott Haynes, Director of Technical and Production Services to discuss the need, intention and possible date of use. Contact information for Scott Haynes: 828-262-6371 or haynesms@appstate.edu.
  2. A contract will be issued and signed by the user and university representative. An indemnification rider must also be submitted along with the contract.
  3. Following approval, the rental fee for the facility is required to secure dates.
  4. Fill out the request form here and the policies and procedures form here and return it via email to haynesms@appstate.edu.
  5. For public events, send a 200-word event description, a high-resolution image, videos (if applicable) and event information to Anna Gaugert (gaugertah@appstate.edu) to be published on the Schaefer Center website.
